What personal data we collect & why we collect it

  • If you contact us then we collect information from you in order to be able to respond to your enquiry.

  • If you make a booking or reservation with us then we collect information from you in order to be able to provide you with the service you requested. This includes your name, email, phone number, address, date of visit/stay, room choice, and/or payment details. 

  • We use cookies as part of the workflow to make a booking. Cookies are used for maintaining your session state between pages and remembering you between visits.

  • Logs

    We retain logs of activity on our infrastructure including website traffic. This is used to gain an understanding our our customers and improve our offerings (“analytics”) as well as for security and regulatory requirements.

Our booking engines are 3rd party services embedded in our website. 

Who we share your data with

The information submitted for a booking or reservation is shared with our booking engine providers “Hostaway” (accommodation) and Commerce7 (cellar door) and payment partner “Stripe”. Additionally your personal data may be contained within “Commerce7” backups and that of our property management system “Hostaway” and held in secure cloud backup systems in AWS. You should consult their privacy policies for details on how your information is handled.  

How we protect & retain your data

We will endeavour to take all reasonable steps to keep secure any information which we hold about you, and to keep this information accurate and up to date. If, at any time, you discover that information held about you is incorrect, you may contact us to have the information corrected.

In addition, our employees and the contractors who provide services related to our information systems are obliged to respect the confidentiality of any personal information held by us.

All web traffic is restricted to encrypted protocols (https). Our systems run anti-virus and are audited regularly. Access to our systems is controlled by strong password policies to nominated personnel only. If you submit any information to us we keep that information indefinitely.

What rights you have over your data

You can request for a copy of any of your personal data that we hold. You can request we erase any personal data we hold about you. Note that we are obliged to keep some data for administrative, legal, regulatory or security purposes.
